Finance Coordinator

STATUS: Exempt

NATURE AND SCOPE OF JOB

Provides support for the administration of the agency (DAIP) and its customer (MSH) by producing accurate, timely financial statements, maintaining the general ledgers, submitting all required reports for all grants on a timely basis, monitoring cash flow, completing month end and quarter end processes timely, developing budgets and coordinating the annual audits for both agencies.

ESSENTIAL JOB FUNCTIONS:

  1. Process draw requests for federal and state grants according to federal and state policies.
  2. Monitor cash flow to meet the financial needs of both organizations.
  3. Maintain all general ledger accounts.  Prepare monthly entries and reconciliations as necessary.
  4. Complete month end and year end procedures in accounting system.
  5. Prepare and distribute monthly financial statements for each program in a timely manner.
  6. Prepare and submit quarterly Financial Status Reports for grants as required in a timely manner.
  7. Present financial statements and position at board meetings.
  8. Prepare annual budget with assistance from Program Managers.
  9. Prepare and Review all budgets for grant applications.
  10. Actively problem-solve and work as part of an organizational fundraising team to address financial growth and management.
  11. Submit all grant applications on line, monitor all grant reporting.
  12. Oversee accounting policies and procedures.
  13. Prepare year-end summary and reconciliations for the annual audit.
  14. Prepare semi-monthly payroll and related items. (payroll taxes, 401k payments, W-2’s)
  15. Oversee accounting policies and procedures.
  16. Monitor internal control structure and recommend changes as necessary.
  17. Attend & participate in all necessary meetings.
  18. Maintain a regular schedule during general business hours.

  1. Excellent knowledge of Accounting practices and procedures required.
  2. Ability to use sound judgment and discretion when decisions are needed.
  3. Ability to enunciate clearly with the public and co-workers positively.
  4. Ability to work effectively in a professional and courteous manner at all times.
  5. Ability to work independently and maintain confidentiality.
  6. Working knowledge of all policies and procedures to assist others.
  7. Skill in setting priorities, which accurately reflect the relative importance of job responsibilities.
